Ethọ́s Lab operates a ~3,700 sq. ft. facility in the Mount Pleasant area and requires a dedicated community-centered Operations Manager to ensure its successful daily functioning.

Reporting to the Executive Director (or delegate), the Operations Manager is responsible for efficient and safe daily operations management of Ethọ́s Lab facilities and oversight of financial and human resource management practices, while maintaining quality control, and optimizing processes. This role is also responsible for handling logistics planning, resource allocation and procurement while maintaining compliance with Ethós Lab’s operational policies and standards and a safe work environment for staff and healthy learning environment for youth.

This is a highly hands‑on role requiring someone who is focused on operational excellence, solutions oriented with a strong attention to detail, proactive, and deeply service‑minded. In addition to stewarding the day‑to‑day functionality of our space, this person leads core administrative operations — from managing contractors and third‑party service providers, to supporting compliance processes, financial tracking, and documentation. The Operations Manager ensures that Ethós Lab’s environment is welcoming, efficient, compliant, and consistently prepared to support staff, youth, and community partners.

What you’ll be doing
Operational Management: Oversee Ethós Lab’s daily operations, ensuring smooth and efficient execution. Manage operational staff and provide guidance and support as needed.

Administration: General Administration with an emphasis on administrative and information systems management and day to day staff administration.

Process Optimization: Analyze and improve operational processes to enhance efficiency and effectiveness. Implement best practices and innovative solutions.

Logistical Planning: Coordinate logistical aspects of Ethós Lab’s operations, including facility maintenance, procurement and IT infrastructure.

Procurement Management: Oversee purchasing activities and optimize supply chain processes with a focus on cost-effectiveness and quality control. Act as the internal control for organizational procurement needs that ensure timely delivery of goods and services while maintaining inventory levels.

Resource Allocation: Manage resource allocation, ensuring Ethós Lab’s resources are used effectively and efficiently. Monitor inventory, procurement and expense processes.

Compliance and Risk Management: Ensure compliance with operational policies, legal regulations, and industry standards including Occupational Health & Safety. Identify and mitigate operational risks including vendor management and controls.

Reporting and Analysis: Monitor operational performance and systems and generate reports. Use data to inform organizational decisions, drive continuous improvement and produce reports for senior leaders.

Partner Management: Operate as the primary contact for users of the space.

Financial Management: Manage Ethos Lab’s financial systems including operational vendor management. Act as internal control for payroll (i.e., T4A process) and accounting processes (i.e., approvals, expense approvals, physical allocation of funds, tracking, reconciliation, bank accounts, etc.)

You will manage and implement:

  • Manage day-to-day operations and supervise operational staff
  • Implement process improvements and enforce quality standards
  • Coordinate routine logistics, facilities, and vendor relationships
  • Allocate resources within approved budgets
  • Monitor performance and prepare operational reports

You will provide recommendations on:

  • Set organizational strategy, KPIs, and OKRs
  • Approve budgets, major expenditures, and reallocations
  • Approve hiring, termination, and compensation decisions
  • Approve new or revised organizational policies
  • Approve program launches, expansions, or closures

What you bring Experience:

  • Over 5+ years of Operations or Facility Management experience
  • Certifications are an asset (e.g., FMP, FMA, FMC, CFM)
  • Demonstrated experience working in office environments and developing administrative processes
  • Experience working in start-up organizations and dynamic environments, is an asset
  • Proven track record of developing and delivering projects on time and within budget
  • Experience administering youth programs, is an asset
  • Knowledge of anti-racism, anti-oppression, equity, diversity and inclusion frameworks
  • Experience working with and creating digital databases is an asset (e.g., Inventory Management, Amilia, Keela, etc.)
